For a group holiday, the guest count is only the beginning. A rooming list explains how those guests need to sleep, which can be the hardest part to confirm on a busy date.

Record the accommodation requirements

List the number of rooms or cabins, adults in each, children's ages and required bed arrangements. Mark which preferences are essential and which are flexible. Do not include unnecessary identity documents in an initial public enquiry; ask what the booking process actually requires and use the designated channel.

Compare like-for-like availability

A quotation for three double cabins is not a substitute for a request needing separate beds and family occupancy. Ask the team to identify the confirmed category and any supplements. Keep the final rooming arrangement attached to the quote so later changes are visible.

Nominate one group contact to approve the accurate list and distribute the confirmed itinerary. If someone joins or withdraws, request the revised total rather than dividing the original price informally. Clear rooming details reduce the chance that a promising headline price turns into an unsuitable sleeping arrangement when the date becomes busy.
